Registration Information


Please read the following information before your registration:

Each full registration fee includes,

  • Admission to all sessions (keynote/plenary sessions and technical sessions/tutorials/workshops)
  • Coffee breaks
  • One ticket for the welcome reception
  • One ticket for the banquet
  • One copy of the program booklet and
  • One copy of the proceedings (USB).
Each full registration covers a maximum of two papers. Each paper requires at least one author with full registration (even if all authors of the paper are students, i.e., a student registration does not cover any paper). Presentation of more than two papers will incur a charge of $450 NZD (e.g., $300 USD) per extra paper.

Each student registration includes admission to all sessions, coffee breaks, and the welcome reception, as well as one ticket for the conference banquet, plus one copy of the program booklet and one copy of the proceedings (USB). Students are required to provide a copy of a valid ID that certifies their full-time student status, by sending it to the registration chair Dr. Aaron Chen (aaron.chen@ecs.vuw.ac.nz) and the proceedings chair Dr. Yi Mei (yi.mei@ecs.vuw.ac.nz), after completing your registration online.

Each paper is limited to eight (8) pages. A maximum of two extra pages per paper are allowed, at an additional charge of $150 NZD (e.g., $100 USD) per extra page. Each extra copy of proceedings will be $50 NZD (e.g., $34 USD). Each extra banquet ticket costs $150 NZD (e.g., $100 USD).

Online registration will be closed by 13 June 2019 or until the capacity is full.

Cancellation Policy
Refunds (a $120 NZD (e.g., $80 USD) cancellation fee will be charged) will be provided for cancellations received on or before 1 May 2019. Refunds will not be provided for cancellations after this date. For refunding application, please contact the registration chair Dr. Aaron Chen (aaron.chen@ecs.vuw.ac.nz).

IMPORTANT NOTES

  • All payments will be made in NZD (NZ Dollar) only. The USD number in the brackets was equivalent to the NZD number at the time when we obtained approval from IEEE CIS, and note that the exchange rate will be fluctuating with time.
  • An accepted paper will be published in the proceedings only if the final camera-ready version is accompanied by the payment of at least one full registration (IEEE Member or Non-Member) from one of the authors by 8 April 2019. No accepted paper can be included in the proceedings without the payment of the required registration fee.
  • Each full registration covers a maximum of two papers. Presentation of more than two papers will incur a charge of $450 NZD (e.g., $300 USD) per extra paper.
  • Each student registration includes all of the items in full registration except that it cannot cover any paper.
  • Each extra copy of proceedings will be $50 NZD (e.g. $34 USD). Each extra banquet ticket costs at a discount rate of $150 NZD (e.g. 100 USD)
  • The page limit for each paper is eight. Up to two additional pages will be permitted for an additional charge of $150 NZD (e.g. 100 USD) each page.
  • To qualify for IEEE Member registration, please fill your IEEE membership number into the registration system and we will check with IEEE.
  • To qualify for the student rate, a proof of current full-time student status (i.e., a copy of student card or a certification from University) will be required.
  • Cancellation Policy: Refund (a $120 NZD (e.g., $80 USD) cancellation fee will be charged) will be provided for cancellation requests received on and before 01 May 2019.   • IEEE reserves the right to exclude a paper from distribution after the conference, including IEEE Xplore® Digital Library, if the paper is not presented by the author at the conference. Additional details can be found at:

  • An invitation letter can be prepared and sent only after a registration payment is made. A registration/invitation letter will be sent within 48 hours of registration as the internal databases are processed. [IMPORTANT NOTES]

  • In order to receive the receipts properly, please provide a valid email address in the "Customer Details" form during the registration process (after clicking "Process Payment"). Please see Step 6 in the registration instructions above.
  • International participants who do not see a success of payment should contact the credit card company for removing a default block.

FAQs

No. The email with the acceptance of your paper should be used to apply for funding. The purpose of an invitation letter is to get a visa. Only if you register for your paper, we will issue an invitation letter.

A paper with the first named author being a student is a student paper. It does not matter whether the rest of the authors are students or not.

This refers to membership of the IEEE. If you are a member of the IEEE, you get a member registration.

Each accepted paper requires a full member or non-member registration. After this full registration is paid, other student authors can register as students.

First, you should register as a full member or non-member. This will entitle you to 2 papers. You then pay the extra fees for the 3rd paper on top of the 2 you are entitled for. In this example, you will need to pay $450 NZD (e.g., $300 USD) for the 3rd paper. Then, your students can register as students.

Yes. As stated in https://www.ieee.org/documents/author_faq.pdf, the IEEE recognizes that many authors share their unpublished manuscripts on public sites. Once manuscripts have been accepted for publication by IEEE, an author is required to post an IEEE copyright notice on his preprint . Upon publication, the author must replace the preprint with either 1) the full citation to the IEEE work with Digital Object Identifiers (DOI) or a link to the paper’s abstract in IEEE Xplore, or 2) the accepted version only (not the IEEE – published version), including the IEEE copyright notice and full citation, with a link to the final, published paper in IEEE Xplore.
